Travel Reimbursement Letter

Your name has been submitted as a speaker for the “@@ Workshop” to be held on Day, May 2@, 2013, during the 2013 NSLS/CFN Joint Users’ Meeting. If you have not already done so, please click here to register for the meeting.

The Photon Science and CFN User’s Executive Committees have allocated a specific budget for each workshop toward the costs of travel expenses for workshop speakers; The organizer(s) of this workshop have agreed to cover your airfare, lodging and ground transportation or travel expenses up to $_______.

To reduce the need for you to layout your personal funds to travel here, and to ensure that travel arrangements are within the DOE travel guidelines and the workshop budget, we would like to assist you in preparing your travel to Brookhaven National Laboratory (BNL). We can direct bill the conference account for your airfare and hotel/housing accommodations. In some cases we can also direct bill ground transportation (car/limo service). Car rentals will require you to submit receipts for reimbursement.

Please help us facilitate this by completing the attached travel request form. We will work with the BNL travel office to accommodate your request and will confirm with you before finalizing your itinerary.

IMPORTANT: In order for us to process your travel requests and/or reimbursements, you will need to an active BNL Guest ID number.

  • If you do not have an active BNL ID , you must register in the BNL Guest Information System (GIS),
  • If you have a BNL Id number that is no longer active, you can renew it by completing the Guest Extension Form  (you will need to enter you current Id number and date of birth)
  • If you are not sure whether you have a BNL ID number, feel free to contact this office.

It would be extremely helpful if you would include an alternative contact (name, email, phone number), who we can communicate with on your behalf. Or copy that person on your reply to this request.
